Initial setup covers your approved clinic information, core enquiry flow, qualification questions, handover rules and agreed booking workflow. Any custom development or additional integration is scoped and agreed before work begins.
The ongoing service is month-to-month after any agreed pilot. Notice, data return or deletion, and channel transition are handled under the service terms confirmed with you before setup.
Answr is a managed service. Your clinic supplies and approves its services, pricing, hours, policies and escalation contacts; we configure the workflow and guide the channel connection.
Timing depends on how quickly clinic information is approved, which channels are being connected and whether an existing account needs changes. We confirm the onboarding plan before setup; any Meta review or verification time is outside Answr’s control.
Your clinic keeps ownership of its WhatsApp business assets. During managed onboarding, an authorised administrator grants the access needed for Answr to operate the agreed number. Whether an existing number can be migrated is checked before any change is made.
Authorised staff can review and propose updates to clinic information, services, prices, policies and common answers. Approval and publication are shown as separate states so staff can see what is live before retesting.
Authorised staff use the Answr shared inbox to see the conversation history, reply and control whether automation is paused. The exact behaviour of the native WhatsApp app depends on the number and connection method agreed during onboarding.
Yes. Answr answers directly if a patient asks whether the conversation is automated. Patients can also ask for a member of staff, and the conversation remains available to the clinic team.
Answr supports multilingual conversations in the languages configured for the clinic and can follow a patient who switches between them. We confirm the required language coverage during onboarding rather than promising every language by default.
Answr creates a handover for the clinic team when a message is clinical, sensitive, uncertain or outside the approved information. Staff can read the same conversation and reply from the shared inbox.
Yes. Your clinic connects its own Instagram professional account to Answr. New direct messages can then be answered using your clinic information, shown in the shared inbox and handed to a member of staff whenever human judgement is needed.
Yes. We build one clinic knowledge base from the treatments, prices, opening hours and booking policy you give us. Your staff can edit it, and Answr uses that approved information across both channels.
Answr can collect booking details, check live availability and confirm appointments when the clinic’s agreed booking integration is configured. Google Calendar and Dentally are supported today; any other system must be assessed and scoped before it is promised.
Answr is configured to use only the pricing and packages the clinic has supplied and approved. If the requested price is missing or depends on clinical judgement, the conversation is handed to staff instead of filling in the gap.
Where agreed, Answr can share the clinic’s own payment link as part of the booking flow. Card details and payment processing stay with the clinic’s payment provider; the exact deposit workflow is configured during onboarding.
It is designed to hand the conversation to staff when the answer is missing, uncertain or outside the clinic’s approved information. The team receives the conversation context so it can continue without asking the patient to start again.
Yes. Your team can watch conversations live, take over with one tap when human judgement is needed, and hand back to the AI afterwards — the full history stays with the conversation.
For patient conversations handled for a customer clinic, the clinic is the controller and Answr acts as its processor. The processing terms, retention and deletion arrangements are agreed in the customer contract and Data Processing Agreement before live service.
Answr documents what it processes and why, uses access controls, supports retention and deletion requests, and agrees processing terms with each clinic. A clinic must still assess its own legal basis, notices and local obligations before launch.
Answr is an administrative sales and booking concierge, not a clinical service. Clinical, urgent or safety-related questions are outside its scope and are routed to the clinic team under the agreed escalation rules.
Before setup begins. We first confirm the channels, expected enquiry volume, locations, booking workflow and any additional integration work, then provide the ongoing plan and price in writing.
Only the integrations named in your agreed scope are included. If your clinic needs a different calendar, CRM or workflow, we assess access, feasibility and cost before representing it as supported.
The clinic reviews its business information, services, prices, booking rules, escalation contacts, supported languages and patient-facing boundaries. Channel access and data-processing terms must also be in place before live traffic is enabled.
A clinic administrator connects an Instagram professional account through Instagram’s authorisation screen. Personal accounts are not supported by this connection flow.
The connection requests the permissions needed to identify the professional account and receive and reply to its direct messages. The authorisation screen shows the requested access before the clinic approves it.
Yes. An authorised user can disconnect the account from Answr, and access can also be withdrawn from Instagram settings. Answr then stops receiving or replying to new messages for that connection.
The clinic retains ownership and administrative control. Answr receives only the access required to operate the agreed messaging service, and that access can be removed through the applicable Meta business settings.
For a configured live integration, availability is checked before a time is offered or confirmed. If the calendar cannot be verified, the booking flow does not represent an unverified slot as confirmed.
Yes. Access is authenticated and scoped to authorised users and the clinics they are allowed to see. The onboarding plan confirms who needs access and who can approve or change clinic information.
